Common Questions
As of 2024, more than 40 states have officially allowed RON (Remote Online Notarization) which can be done remotely via video and relies on third-party KBA (Knowledge Based Authentication). This option is ideal when it is certain that a wet signature will not be required for the transaction in question and a PDF copy will suffice.
The signing ceremony happens on Zoom with a notary who verifies the ID and performs the signing ceremony. A video recording of the signing is required to be kept up to 10 years so The Best Notary maintains those videos to comply with the regulations.

While California notaries are not able to use Remote Online Notarization (RON) until 2030, any notarization that is completed lawfully in another state is valid in California. We have recorded thousands of deeds that were notarized via RON demonstrating that these documents are seen as valid in the state of California.
Before printing, our team provides thorough proofreading of documents. This includes checking for formatting issues such as:
- File names matching document titles
- Headers and footers
- Page and section breaks
- Typos and leftover highlighting
- Consistency of name and phone numbers across all documents
- Consistency of all addresses, counties, and APN numbers
- Names matching names on IDs which we collect before the signing
- Dates consistency across all documents
This is to ensure that the documents are well-organized and ready for signing. We aim to prevent any issues that might arise during the conversion to PDF and the subsequent printing process.
Before the appointment, our team prepares the documents to make signing meeting efficient and error-free by doing the following:
- Pre-filling the notary name and signing date in each of the documents
- Creating a signing checklist to make sure the notary does not miss any initials are important details
- Printing the documents on the paper that you prefer
- Putting in an extra notary acknowledgement page in case there is any sort of error during the signing with a color page to indicate it is in an extra page
- Tabbing the documents with "Sign Here" and "Initial Here" stickers in a color coded way so that no signatures or initials are missed
- Putting the documents in a temporary binder or accordion folder to prevent the documents from getting disorganized or damaged
Documents are scanned into individual named files and as a combined file depending on the client’s needs.
We have a basic convention for naming scanned documents, however, we can also follow your convention as needed to ensure consistency and ease of reference for all parties involved.
Standard Binder: This includes organization and assembly of documents into a basic Avery white plastic binder with basic numbered tabs, ensuring they are in the correct order and easy to navigate.
Deluxe Binder: This level includes enhanced features such as standard WealthCounsel tabs, additional labeling, and pleather higher-quality binder (Navy Blue or Burgundy).
Once you sign up, you will be sent our onboarding form which will ask you many preferences about your documents and practice so that we can tailor our services to meet your needs.
You will be given a login to your dashboard where you can put in orders, monitor appointments and ask questions of the team.
We will send you a shipping label so that you can send us your sample binders, custom binders, business cards or any other materials that we need.
- We are happy to record deeds that we have notarized. Once we have the notarized deed and supporting documents, we submit them electronically to the county.
- We will send a separate charge for the county recording fees.
- We will email you a copy of the recorded deed and are happy to print them and put them in the final binder if we are managing binder assembly for you.
- We will inform you when the signing has been confirmed and let you know the name of the notary.
- We will inform you that the signing was successful the same day.
- You should receive scans of the documents within one week of the signing for your approval.
- We will start assembling the documents into the final binder after we have scanned the documents.
- We will send a video of the binder assembly for approval within one week to 10 days after signing.
- Final binders should be ready to ship after you approve the scans. We arrange the delivery with signers so there may be a delay if they are out of town or unable to receive the documents.
